Accommodation and support services for young people privacy notice

​Young Person's Gateway is part of Cardiff Council who is the Data Controller for the purposes of the data collected. This privacy policy will explain how our organisation uses the personal data we collect from you when you use our service.

What data do we collect?

The following data is required to enable officers to reach informed and robust recommendations and decisions about your accommodation and support needs:

  • Name
  • Date of Birth
  • Address
  • Email address
  • Marital Status
  • Gender 

Data Protection law describes the legal basis for our processing your data as necessary for the performance of: (e) Public task: the processing is necessary for you to perform a task in the public interest or for your official functions, and the task or function has a clear basis in law.

Legislation: 

  • Housing (Wales) Act 2014
  • Social Services and Well Being (Wales) Act 2014
  • Well-Being of Future Generations (Wales) Act 2015

 

Young Person's Gateway also collects, stores and uses the following special category data:

  • Ethnicity
  • Disability
  • Nationality
  • Information relating to previous episode of being Child in Need/Section
  • Care leavers – activities and accommodation

Young Person's Gateway processes special category data under Article 9 (g) Reasons of substantial public interest (with a basis in law) under Schedule 1 condition 18: Safeguarding children and individuals at risk.

Young Person's Gateway processes criminal offence data under:

  • Schedule 1 Part 1 Condition 6:  is necessary for reasons of substantial public interest.
  • Schedule 1 Part 2 Condition 18: Safeguarding of children and of individuals at risk.
  • Schedule 1 Part 3 Condition 30: Protecting individual's vital interests. 

How do we collect your data?

You directly provide Young Person's Gateway with most of the data we collect. We collect data and process data when you access the Young Person's Gateway.

The Young Person's Gateway may also receive your data indirectly from the following sources:

  • Llamau
  • The Salvation Army ​

How will we use your data?

Young Person's Gateway collects your data so that we can process and manage your placement in supported accommodation.

​How do we store your data?

Young Person's Gateway securely stores your data via our Young Person's Gateway database.

Young Person's Gateway Team will keep your data for up to 75 years.

Once this time period has expired, we will delete your data. 

What are your data protection rights?

Cardiff Council's Young Person's Gateway would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:

The right to access

You have the right to request copies of your personal data from Young Person's Gateway.

The right to rectification

You have the right to request that Young Person's Gateway corrects any information you believe is inaccurate. You also have the right to request that Young Person's Gateway completes information you believe is incomplete.

The right to erasure

You have the right to request that Young Person's Gateway erases your personal data, under certain conditions.

The right to restrict processing 

You have the right to request that Young Person's Gateway restricts the processing of your personal data, under certain conditions.

The right to object to processing 

You have the right to object to The Young Person's Gateway's processing of your personal data, under certain conditions.

The right to data portability 

You have the right to request that The Young Person's Gateway transfers the data that we have collected to another organisation, or directly to you, under certain conditions.
